Privacy Policy

Last Updated: March 11, 2026

systMD (“we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit our website https://systmd.net, contact us, request services, or engage us for IT support, web design, smart home integration, or other technology services. By using our website or services, you agree to the practices described here.

1. Who We Are

systMD is a technology services company based in Little Falls, New Jersey. We provide IT support, managed IT services, web design and development, network setup, smart home integration, and related digital services to individuals, small businesses, and organizations throughout northern New Jersey. Our website address is: https://systmd.net.

2. Information We Collect

2.1 Information You Provide Directly

When you fill out a contact form, request a quote, or communicate with us, we may collect:

  • Your name and contact information (email address, phone number, mailing address)
  • Details about your technology needs, project scope, or support request
  • Business name and industry (for business clients)
  • Payment information, which is processed securely through third-party payment processors — we do not store full credit card numbers
  • Any other information you voluntarily provide in messages or forms

2.2 Information Collected Automatically

When you visit our website, we and our service providers may automatically collect:

  • IP address and general geographic location
  • Browser type, version, and operating system
  • Pages visited, time spent on pages, and referring URLs
  • Device type and screen resolution
  • Cookies and similar tracking technologies (see Section 5 below)

2.3 Information Collected During IT Service Sessions

If you use our remote support services (via tools such as TeamViewer), or engage us for on-site IT support, managed IT services, or related work, we may necessarily access or encounter:

  • Files, system configurations, software, and data on your devices or network
  • Login credentials or account access granted by you for the purpose of completing your service request
  • Network infrastructure details, device inventory, and security configuration

We access this information solely to perform the services you have requested. We do not retain, copy, sell, or share client system data beyond what is necessary to complete your service. Any sensitive credentials shared with us should be changed after service is completed, and we strongly encourage this practice.

2.4 Comments

When visitors leave comments on our website, we collect the data shown in the comment form — including your name, email address, and comment content — along with your IP address and browser user agent string to assist with spam detection. An anonymized hash of your email address may be shared with the Gravatar service to determine whether you have a profile picture. Gravatar’s privacy policy is available at automattic.com/privacy. Upon approval, your display name and profile picture (if applicable) will be visible publicly alongside your comment.

2.5 Media Uploads

If you upload images to the website, please be aware that uploaded images may contain embedded metadata (such as EXIF GPS location data). Visitors to the site may be able to download and extract this data. We recommend removing location metadata from images before uploading them.

3. How We Use Your Information

  • Respond to your inquiries, service requests, and support tickets
  • Provide, manage, and improve our IT, web design, and technology services
  • Process payments and maintain billing records
  • Send service updates, invoices, or follow-up communications related to your engagement with us
  • Diagnose and troubleshoot technical issues on your behalf
  • Maintain the security and functionality of our website and internal systems
  • Comply with applicable legal obligations
  • Detect and prevent fraud, spam, or abuse
  • Analyze website usage to improve our content and user experience

We do not sell your personal information to third parties. We do not use your information for any purpose materially different from those described above without your consent.

4. Cookies

Our website uses cookies — small text files stored in your browser — to enhance your experience.

Comment Cookies

If you leave a comment on our site, you may opt in to saving your name, email address, and website URL in cookies for your convenience. These cookies last for one year so that you do not need to re-enter your details on future visits.

Session and Login Cookies

When you visit our login page, a temporary cookie is set to check whether your browser supports cookies. This cookie contains no personal data and is discarded when you close your browser. When logged in (e.g., as a site administrator), cookies are stored to maintain your session and display preferences. Login cookies last up to two weeks if you select “Remember Me,” or two days otherwise. Screen options cookies last one year.

Editorial Cookies

If you publish or edit a post, a cookie is saved containing the post ID. This cookie expires after one day and contains no personal data.

Analytics and Performance Cookies

We may use analytics tools (such as Google Analytics) that set cookies to help us understand how visitors use our site. These tools collect anonymized usage data such as pages viewed, time on site, and traffic sources. You can opt out of Google Analytics tracking at: https://tools.google.com/dlpage/gaoptout.

Managing Cookies

You can control or disable cookies through your browser settings. Please note that disabling cookies may affect the functionality of parts of our website.

5. Embedded Content from Other Websites

Pages on our website may include embedded content such as videos, maps, social media feeds, or iframes from third-party platforms. Embedded content from other websites behaves exactly as if you had visited those websites directly. Those third parties may collect data about you, use cookies, embed additional tracking, and monitor your interaction with the content — including if you are logged into their platform. Third-party services that may be embedded or linked on our site include Google Maps, YouTube, Facebook, and Instagram. Please refer to the privacy policies of those platforms for details.

6. Remote Support Sessions

We use TeamViewer and similar remote access tools to provide remote support services. When you initiate a remote session, you grant us temporary access to your device. The following applies:

  • You control when sessions start and end. You can terminate a session at any time.
  • Sessions may be logged by the remote access provider for security purposes. Please refer to TeamViewer’s privacy policy for details.
  • We do not record remote sessions without your knowledge.
  • Any access credentials or sensitive information shared during a session should be changed after the session ends. We strongly recommend this as a security best practice.

7. Who We Share Your Information With

We do not sell, trade, or rent your personal information. We may share your information in limited circumstances:

Service Providers

We work with third-party vendors who assist us in operating our website and delivering services. These may include web hosting providers, payment processors, email delivery services, analytics platforms, and remote access tool providers. These vendors are contractually obligated to protect your information and may only use it for the purposes we specify.

Spam Detection

Visitor comments may be checked through automated spam detection services. These services may receive comment content and associated metadata such as IP address.

Password Reset Emails

If you request a password reset on our website, your IP address will be included in the reset email as a security measure.

Legal Requirements

We may disclose your information if required to do so by law, court order, or government authority, or if we believe in good faith that such disclosure is necessary to protect the rights, safety, or property of systMD, our clients, or others.

Business Transfers

In the event of a merger, acquisition, or sale of business assets, your information may be transferred as part of that transaction. We will notify you in advance of any such change and the privacy practices that will apply.

8. Data Retention

We retain your personal information for as long as necessary to provide our services and meet our legal, financial, and operational obligations. Specifically:

  • Contact form submissions and service request records are retained for the duration of our business relationship and for a reasonable period afterward (typically up to 7 years) for accounting and legal purposes.
  • Website comments and their metadata are retained indefinitely to facilitate moderation of follow-up comments.
  • Registered user profiles are retained until you request deletion. Users may request to see, edit, or delete their profile information at any time (except usernames cannot be changed once set). Website administrators can also see and edit that information.
  • Cookie data is subject to the expiration periods described in Section 4.
  • Payment records are retained as required by applicable tax and financial regulations.

When your information is no longer needed, we will securely delete or anonymize it.

9. Data Security

We take the security of your information seriously. As an IT services company, security is core to everything we do. We employ industry-standard safeguards including:

  • Secure HTTPS connections across our website
  • Restricted access to personal data on a need-to-know basis
  • Use of reputable, security-vetted third-party service providers
  • Secure handling of client credentials and system access during service engagements

However, no method of electronic transmission or storage is 100% secure. We cannot guarantee absolute security and encourage you to take precautions such as using strong passwords and changing credentials after remote support sessions.

10. Your Privacy Rights
